Recruiting notice template

Last modified on 9 October, 2026

If you send an Outside CircleUp to job candidates, some laws require you to tell them that artificial intelligence is involved. For example, Illinois requires employers to give notice when they use AI in recruiting or hiring. The template below is a starting point you can paste into a job posting, an application page, or the message that carries your link.

This template is provided as a convenience and is not legal advice. Whether you need a notice, and what it must say, depends on where you and your candidates are. Check with your own counsel before relying on it. Replace everything in [brackets].

About the AI assistant for this position

[Company] uses CircleUp, an AI assistant provided by SigmaHorse LLC, to answer questions about this position.

What it does. If we send you a CircleUp link, you can watch a short video from [sender name] and ask questions about the role. The assistant answers only from the information [Company] chose to share about this position. It tells you when it can't answer, and it can pass your question to [sender name].

What it does not do. The assistant does not screen, score, rank, rate, or reject applicants. It is not used to decide who is interviewed, hired, or contacted. People at [Company] make those decisions.

What information it uses. Your questions and its answers, and, only if you choose to share them, that you are interested, any note you add, and a phone number you verify to be notified. [Sender name] can see this information.

Your choices. You don't have to use the assistant to apply or to be considered. You can contact [contact name] at [email or phone] instead. If you need a reasonable accommodation, contact [contact name] at [email or phone].

Questions. Contact [contact name] at [email or phone].
